Fundraiser and Recipient Terms
Effective date: October 25, 2026
Last updated: October 25, 2026
Terms version: 2026-10-25
These terms are for Organizations that post volunteer opportunities, missions or Fundraisers, and for individuals who start an Individual Fundraiser ("you"). Both are Recipients when they receive donations. Parts A, B and D apply to everyone who posts or receives donations, where relevant; Part C adds rules for Individual Fundraisers. Words such as "Listing," "Fundraiser," "Recipient" and "Sent to Serve Parties" have the meanings in our Terms of Use. These terms add to our Terms of Use, Community Guidelines, Donation and Refund Policy and Youth Safety Policy. Our Privacy Policy explains how we handle personal information. If something here conflicts with the Terms of Use, these terms control for fundraising and Listings.
Thank you for the work you do. These terms are here so donors and volunteers can trust what they find on Sent to Serve.
Part A: Everyone who posts
1. Your profile and authority
Complete profile. Before you post, you need a complete profile.
Organizations: name, description, contact email, phone, website, address and logo.
Individuals starting an Individual Fundraiser: name, email, phone and date of birth.
Accuracy. You confirm that this information is true and that you keep it current.
Age. You must be at least 18 to create an organization profile, accept these terms, post Listings, start Fundraisers or connect a Stripe account to receive donations.
Authority. If you act for an Organization, you confirm that you're authorized to bind it to these terms.
Listing certification. Before any Listing is posted, everyone posting (Organizations and individuals alike) must check a required, unchecked certification checkbox. It confirms that you're authorized to post the Listing and that the Organization or Recipient has read, understands and agrees to the terms that apply. We record the acceptance. It's in addition to the youth-protection acknowledgment in §3 (for Listings that may involve minors, and missions or Mission Trips). The checkbox reads as follows. These examples use "Example Church"; the site shows your Organization's name instead, and an individual organizer's Fundraiser label says "for myself."
Volunteer opportunities: "I'm authorized to post this for Example Church. Example Church has read, understands and agrees to the Terms of Use: Volunteering and missions, the Fundraiser and Recipient Terms, the Community Guidelines and the Youth Safety Policy. Example Church alone is responsible for this opportunity, including screening, supervising and the safety of its volunteers." (Links: Terms of Use: Volunteering and Missions, Fundraiser and Recipient Terms, Community Guidelines, Youth Safety Policy.)
Missions: "I'm authorized to post this for Example Church. Example Church has read, understands and agrees to the Terms of Use: Volunteering and missions, the Fundraiser and Recipient Terms, the Community Guidelines and the Youth Safety Policy: Missions and travel with minors. Example Church alone is responsible for this mission, including travel, safety, supervision, screening, and listing all trip costs and what they include." (Links: Terms of Use: Volunteering and Missions, Fundraiser and Recipient Terms, Community Guidelines, Youth Safety Policy: Missions and Travel with Minors.)
Fundraisers: "I'm authorized to post this for Example Church. I've read, understand and agree to the Fundraiser and Recipient Terms: Receiving donations and the Donation and Refund Policy. The Recipient alone is responsible for how the funds are used, and for all refunds, disputes and taxes. Sent to Serve doesn't guarantee or oversee how funds are used." (Links: Fundraiser and Recipient Terms: Receiving Donations, Donation and Refund Policy.)
You're bound by these terms whether or not you check it.
2. Review and approval
Every Listing is reviewed.
Every new Listing and Fundraiser is reviewed by the Sent to Serve team before it's visible to the public.
If you edit an approved Listing before its date passes, it goes back for review.
Decisions. We may approve, decline (with a reason), or later remove any Listing at our discretion.
What approval means. Approval is not an endorsement or a guarantee by Sent to Serve.
3. Your Listings
Public and shareable.
Once approved, your Listing or Fundraiser is public, and anyone can share it by link or on social media, email or text.
The day after its date, it drops out of the main browse lists, the home page and the default map. It comes down from all public views (browse, date searches, map, your profile, saved lists and shared links) 7 days after its end date or event date has passed. Shared links then show "no longer available."
Listings without a date stay public until you or the Sent to Serve team remove them, and aren't locked.
It stays archived in your portal, visible only to you and the Sent to Serve team. We delete an archived Listing 3 years after the date it was archived (or 7 years after that date, for a Fundraiser that received donations); see our Privacy Policy §8 for all retention periods, including donation records. You can delete it sooner at any time, or email Senttoserve.help@gmail.com. A Fundraiser that has received donations can't be deleted from your portal; email us instead.
You allow us and others to show its title, description and photo in shared links and previews.
Photos of children. Photos of children are allowed. Organizations and other Recipients, and anyone else posting content, are responsible for getting a parent's or guardian's explicit permission before posting any photo of a minor. Anyone posting should not include a child's full name, school or other identifying details with a photo. A parent or guardian can email us at Senttoserve.help@gmail.com to ask us to remove a photo of their child, and we may remove any photo of a minor at our discretion. We don't check photos or permissions.
We can't remove copies made elsewhere, such as posts on other platforms, screenshots, cached pages or link previews.
Past Listings are locked.
Once a Listing's event date, or a Fundraiser's end date, has passed, it's locked. You can't edit, republish or reopen it (including reopening donations), and it stays read-only in your archive.
To continue, create a new Listing. It goes through our review again.
If a locked Listing has an error that needs fixing, such as a wrong address or a donation-related correction, email Senttoserve.help@gmail.com. The Sent to Serve team may correct it or remove it.
The event address is public. The event address you enter is shown in full on your opened Listing, and anyone can share it. Browse cards show only the city and state. If your event is at a private home, think carefully before listing it, because that address will be public.
No private information. Don't put other private details in a Listing, such as personal phone numbers, or information about volunteers, beneficiaries or children. For Individual Fundraisers, share only what you're comfortable having public.
Accuracy. Describe your opportunity or Fundraiser honestly, including the purpose, location, dates, minimum age, any requirements and any costs volunteers must pay themselves.
No faith requirements, at this time. At this time, you may not require volunteers to share your faith, sign a statement of faith or meet any other faith-based requirement to take part in an opportunity listed on the Site.
Trip costs. Sent to Serve never charges volunteers for taking part and doesn't collect trip payments. An Organization may ask volunteers to pay their own trip costs, such as travel, lodging, food or insurance. These are paid directly to the Organization or to the provider, outside Sent to Serve. If it does, the listing must clearly state each cost, its amount or a good-faith estimate, and what it includes and doesn't include, before anyone applies. Organizations may not charge application, placement or other fees just for using Sent to Serve. Sent to Serve doesn't handle, hold, guarantee or refund trip payments. Any question, refund or dispute about them is between the volunteer and the Organization.
Volunteer safety. You're solely responsible for safeguarding, screening and supervising your volunteers and participants, for getting any parental consent, and for the activities you list. Sent to Serve doesn't screen anyone, and doesn't supervise or inspect any activity. That includes, as appropriate to your activity:
background checks;
training;
youth-protection and safe-environment policies;
waivers;
insurance;
compliance with the laws that apply to your activities, wherever they take place.
Minors, overnight stays and travel. If your activity involves minors, overnight stays or travel, you must have all of these:
a written youth-protection policy;
written parent or guardian consent;
appropriate screening of adults, including background checks where the law requires them or your policy calls for them;
suitable insurance;
your own participant waiver, where lawful.
You must also follow our Youth Safety Policy. The Site shows your minimum age but doesn't check applicants' ages, so you must check them. You may set a higher minimum age than the Site's, or require your own signed parental consent forms; that's your responsibility.
Required acknowledgment when you post. When you post a Listing that may involve minors (for example, a minimum age under 18, or a youth or children's ministry category) or is a mission or Mission Trip, you must check a youth-protection acknowledgment box confirming that you have a written youth-protection policy, screen the adults who work with minors as the law and your policy require, will get parent or guardian consent, and will supervise appropriately. You're responsible for those steps whether or not you check the box.
Teen applicants. Members aged 13–17 must confirm, before applying, that a parent or legal guardian has agreed to their participation and will be present for the volunteering. That confirmation doesn't replace your own checks or consent forms.
4. Applicant information
What you receive. When Members apply, you receive their name, email, phone, date of birth and bio.
How you may use it. You may use this information only to evaluate and coordinate their participation in your opportunity.
What you must not do. You must not:
sell it;
add applicants to marketing lists without their consent;
share it beyond people who need it.
Protecting it. You're independently responsible for applicant information you receive. Keep it secure. Delete it when you no longer need it. Where the law requires it, honor applicants' requests to stop contacting them or to delete their information. Take extra care with minors' information, and share it only with people who need it to arrange that minor's participation. Tell us promptly at Senttoserve.help@gmail.com if applicant information you received from the Site is lost, stolen or misused.
Privacy laws. You are responsible for following privacy laws that apply to you, including laws in other countries if you receive applications from people there.
5. Your public contact details and off-site communication
Required contact details. Your organization profile must include a contact email and a phone number.
Your email is public.
Your contact email is always shown on your public profile.
It's also included, together with your Organization's name and a link to your profile, in the in-site notifications and emails we send to Members about their applications to your Listings.
By adding a contact email, you agree that we may show it publicly and include it in notifications to Members. Use a general address, such as info@yourchurch.org, if you can.
Your phone can be hidden.
We collect your phone number for Sent to Serve's own use, such as verification, support and safety.
It's shown on your profile unless you tick "Hide my phone number from the public." If you tick it, Members and the public never see your number.
No in-site messaging. Sent to Serve doesn't have in-site messaging, so Members contact you using the details on your profile.
Your responsibility. You're responsible for the contact details you provide.
Keep them accurate and up to date.
Only provide an email address or phone number you're authorized to use for your Organization.
Where possible, use a general Organization email and phone rather than a staff member's personal details. Use personal details only if that person agrees.
Off-site communication. Your communications with Members by email, phone or any other channel happen outside Sent to Serve.
We don't monitor them and aren't responsible for them.
Our Community Guidelines still apply to how you treat people you meet through the Site.
Use applicant and Member contact information only as allowed in §4.
Part B: Receiving donations
6. Stripe account
US Recipients only, at launch. At launch, only Recipients based in the US with a US Stripe account can receive donations. An individual's Stripe account must be in their own legal name. Stripe accounts set up through our Site are created as US accounts. Donors and volunteers can be anywhere.
Your own Stripe account. To receive donations, you must set up your own Stripe account through our Site and accept the Stripe agreements shown during setup (currently the Stripe Connected Account Agreement, which includes the Stripe Services Agreement).
Identity checks. Stripe verifies your identity directly. It may ask for legal name, date of birth, address, a national ID or tax number (in the US, Social Security number digits or an EIN) and bank account details. Sent to Serve doesn't collect or store the information Stripe asks for. The exceptions are any EIN you choose to add to your organization profile, and the name, email, phone, website and description we pass to Stripe to start your setup.
When donations open. You can't submit a Fundraiser until Stripe enables payments on your account, and we check again before every donation. Payouts to your bank follow Stripe's schedule once your payout details are verified.
Your relationship with Stripe. Stripe, not Sent to Serve, decides whether to approve, limit or close your Stripe account.
Fundraising for charitable purposes. Stripe treats this as a restricted business that may need extra review.
If donations are turned off while a Fundraiser is live. If Stripe turns off payments on your account, or you disconnect Sent to Serve from your Stripe account, while a Fundraiser is live, donations to it stop. The Fundraiser stays up and closes on its end date. You remain responsible for gifts already made.
7. Funds, fees and refunds
What Fundraisers are for. Fundraisers must be for Christ-centered missions or ministry commitments. Political fundraising isn't allowed (for example, for a candidate, campaign, political party or political action committee). Individual Fundraisers have extra limits (Part C).
Where donations go. Donations go directly to your Stripe account, in US dollars. Sent to Serve does not hold your funds.
You're the merchant of record for every donation to your Fundraiser. You're responsible for receipts and donor acknowledgments, refunds, disputes and chargebacks, taxes, and following card-network and Stripe rules for your account.
Fees.
Sent to Serve receives a 1% platform fee, rounded to the nearest cent, on each donation. It comes out of the gift: the donor pays the amount they enter, and Stripe collects our fee as an application fee.
You pay Stripe's processing fees from your Stripe balance.
Donation amounts. Each donation must be between $1 and $10,000, by card, in US dollars. Donors must be signed in.
Refunds.
You are responsible for handling refund requests from your donors in your Stripe Dashboard, consistent with our Donation and Refund Policy.
Refunds are entirely your responsibility. Sent to Serve never issues refunds, holds funds or decides refunds.
When the Recipient refunds a gift while its Stripe account is connected to Sent to Serve (that is, as long as the Recipient hasn't disconnected Sent to Serve from its Stripe account), we return our 1% platform fee on the refunded amount to the Recipient. If a Recipient refunds a donation after disconnecting Sent to Serve from its Stripe account, the Recipient or donor can email us at Senttoserve.help@gmail.com and we'll return our 1% fee on that refund.
Disputes and losses.
Disputes, chargebacks and dispute fees are charged to your Stripe account.
If your balance can't cover them and Sent to Serve incurs any cost, you agree to repay us.
Refund notice on every Fundraiser. Every Fundraiser shows this fixed notice to donors: "Refunds and disputes: Your gift goes directly to Example Church through Stripe, its payment processor. All refund requests and disputes are handled by Example Church and Stripe, not Sent to Serve, so please contact Example Church first. Sent to Serve doesn't issue refunds and doesn't guarantee any refund or how gifts are used. See our Donation and Refund Policy." (On each Fundraiser, the Recipient's own name appears where this example says "Example Church.") On Individual Fundraisers, the notice also says: "Gifts are not tax-deductible." You can't remove or change it. You remain responsible for your own refund decisions. You may describe your own refund approach in your Listing, but you don't have to.
Cancelled work. If your mission, trip or project is cancelled or changes significantly, that's entirely your responsibility:
you'll tell your donors promptly;
you'll decide on refunds, or on redirecting the funds, consistent with anything you told donors on your Fundraiser.
8. Use of funds and honesty with donors
You agree to:
use donations only for the purpose described in your Fundraiser;
not make false or misleading claims;
comply with U.S. sanctions and anti-terrorism-financing laws, including OFAC rules, when you use funds or work outside the United States;
keep reasonable records of how you use donations;
answer donors' questions honestly;
respect donors who give anonymously: Sent to Serve hides an anonymous donor's name from you and marks the gift as "Anonymous donor", but Stripe still records the donor's transaction details, which usually include their name and email, and you can see them in your Stripe account. Don't publicly name, thank or otherwise identify an anonymous donor (for example on your website, social media or a donor list) using that information, unless the donor agrees. You may still use it privately to process the gift, refunds, disputes and receipts or tax acknowledgments, to answer the donor's questions, and to meet legal, tax or government reporting requirements (for example, required filings that list donors);
tell us promptly if you can't use donations as described;
we encourage you (but don't require you) to update your donors after your mission or project.
Sent to Serve doesn't oversee, verify or guarantee how any Recipient uses donated funds, and isn't liable for how funds are used. You alone are responsible for using donations as described.
9. Tax matters
Your responsibility. You are responsible for your own taxes, tax reporting and donor acknowledgments.
Tax claims. Don't claim that gifts are tax-deductible unless that's true for your Organization. Gifts to Individual Fundraisers are never tax-deductible.
Acknowledgments. If you tell donors their gifts are deductible, you're responsible for any written acknowledgment the law requires, for example under IRS rules for single gifts of $250 or more and quid pro quo disclosures for payments over $75. You're also responsible for the accuracy of what you say about your tax status.
Proof of status. Adding an EIN to your profile is optional. Sent to Serve doesn't require or verify proof of tax-exempt status, and never guarantees that gifts are tax-deductible.
10. Charitable solicitation laws
Registration. Some US states and other countries require organizations that solicit charitable donations to register or file reports. You are responsible for meeting any requirements that apply to you.
Part C: Individual Fundraisers
An Individual Fundraiser (shown on the Site as a “personal fundraiser” or “Fund a Mission”) is a Fundraiser that you, as an individual Member, start for your own mission or ministry work. You are its Recipient. Parts A, B and D apply to you as well, where relevant.
Who can start one.
You must be at least 18, based in the US, and have your own Stripe account in your own legal name, set up through our Site.
What it can be for.
Only a Christ-centered mission or ministry purpose, such as a mission trip. If a church or organization is sending you, name it on the Fundraiser.
Not allowed: medical, personal-emergency or general living-expense fundraisers; political fundraising; fundraising for or about another person without their permission; and any minor as the recipient.
Required label. Every Individual Fundraiser shows: "Personal fundraiser. Gifts go directly to Jane D. and are not tax-deductible." The organizer's name appears in place of "Jane D."
By starting an Individual Fundraiser, you confirm that:
1. You are at least 18 years old, based in the US, and the information in your profile is true, and your Stripe account is in your own legal name.
2. You're raising money only for your own Christ-centered mission or ministry purpose, and you'll use every donation only for the purpose you state. Your Fundraiser isn't for medical, personal-emergency, general living-expense or political purposes, isn't for or about another person without their permission, and isn't for a minor.
3. Donations to you are personal gifts. They are NOT tax-deductible, and you won't tell donors that they are.
4. Sent to Serve doesn't hold or check your donations, or guarantee your Fundraiser. Sent to Serve doesn't oversee, verify or guarantee how any Recipient uses donated funds, and isn't liable for how funds are used. Stripe processes payments and verifies your identity, and donations go straight to your own Stripe account.
5. Sent to Serve keeps a 1% platform fee from each donation, and Stripe's processing fees are paid from your account.
6. You alone are responsible for refunds, disputes and chargebacks, any taxes on the money you receive, and how the funds are used, including if you can't go on your mission or trip, and for following our rules on refunds and cancelled missions in the Donation and Refund Policy.
7. Sent to Serve may remove your Fundraiser or suspend your account at any time, at our sole discretion.
You'll confirm these when you start your Fundraiser. The Site sets them out as four statements, and you check the box to agree to all four. We keep a record of it.
Limits: you may have only one active Individual Fundraiser at a time (one waiting for review counts), with a goal of up to $25,000. Once it has closed or its deadline has passed, you can start another. Your Fundraiser shows your first name and last initial.
Part D: General
11. Removal and suspension
We may remove Listings or Fundraisers, turn off donations to them, or suspend accounts:
if we believe these terms, our Community Guidelines or the law have been broken;
if there's a risk of harm or fraud;
if Stripe restricts your account.
Where appropriate, we may tell you why. We may also remove any Fundraiser we flag or consider unsuitable, in our sole discretion. If we remove a Fundraiser or suspend your account, donations already made stay in your Stripe account, and Sent to Serve has no duty to recover them. Your obligations for them continue, including use of funds, refunds, disputes, taxes and donor communications.
Your Stripe account belongs to you or your Organization, not to Sent to Serve. If your Sent to Serve account is closed or removed, we only remove the link between your Sent to Serve account and your Stripe account; we don't close or change your Stripe account. Your Stripe account and any funds in it stay yours, under your agreement with Stripe. Sent to Serve never holds donated funds. Please finish any refunds you plan to make before closing your account or disconnecting Sent to Serve from your Stripe account.
If your account is deleted, your archived Fundraisers that received donations are kept, no longer linked to your account and not shown publicly, until their own 7-year date (see our Privacy Policy §8).
Sections 4, 7–10, 12 and 13 continue to apply after your Listings end or your account closes.
12. Indemnity
You agree to defend, indemnify and hold harmless the Sent to Serve Parties (as defined in the Terms of Use) from and against claims, damages, losses and expenses (including reasonable attorneys' fees) arising from:
your Listings, Fundraisers and activities, including injuries to volunteers or participants;
your use of donated funds;
your handling of applicant data;
your contact details and communications with Members;
your breach of these terms or the law.
13. Our liability, governing law and disputes
Our liability. The disclaimers and limits of liability in the Terms of Use (§§11–12) apply to these terms.
Governing law and disputes. These terms are governed by the laws of the State of New Jersey, USA. Disputes follow the Terms of Use §14 ("If something goes wrong"): talk to us first for at least 30 days, then optional Christian mediation, then the state or federal courts in Morris County, New Jersey.
